Inviting and Reviewing Candidates

What is a Candidate?

A candidate in VoiceAdvantage is any person who completes a campaign interview. A candidate’s responses can be rated using a star system, and the the candidate can be accepted or rejected.

The sections in this guide we will walk you through the different ways you can interact with, engage, and communicate with candidates.

Inviting Candidates to Interview

You can invite candidates to interview with VoiceAdvantage in several different ways:

  1. Email invitations through VoiceAdvantage
  2. Posting an Interview Now link through social media or any website
    What is an “Interview Now” link? An Interview Now link can be shared through any social media platform or any website and allows candidates to self-register and begin the interview process for a particular campaign. What is an Interview Now link?

To rate a candidate navigate the candidates interview in the campaign you would like to rate. You can get to the candidates by clicking into a campaign and navigating through the various

Notes and Feedback

With Voice Advantage, you can create and share notes on candidates with other members of your team. You can also receive feedback from people outside of Voice Advantage when you [share candidate responses](/sharing/).

Notes

You can enter notes on any of a candidate’s individual responses or on his/her overall record.

Instructions

  1. Navigate to the candidate you would like to leave notes on.
  2. Select the Answer tab below the candidates to enter notes on individual candidate responses OR go to the Overall Notes area on the right side of the page.
  3. Click the Edit button.
  4. Type in your note.
  5. Click the Save button.

Feedback

When you share a candidates responses with someone through a Presentation Link, you have the option to allow them to give feedback on the candidate. If you give them this option, you can see and be notified about their feedback in several ways.

Notifications

The owner What is a campaign owner? The owner defines the point person for a campaign and sets certain default settings. [Read more](/campaign-ownership/) of a campaign will receive an email notification whenever a reviewer has completed feedback on a candidate.

Viewing Feedback

After a reviewer provides feedback on a candidate you will be able to see the feedback in two places:

Inviting Candidates to Repeat an Interview

Sometimes you would like a candidate to repeat an interview. We have designed Voice Advantage to allow you to invite a candidate to interview as many times as needed, but we want you to be in control. A candidate cannot choose to re-interview on their own, and they need a direct invitation from Voice Advantage to do so.

This is the process you should use regardless of how the candidate interviewed the first time (from an email invitation or from an “Interview Now” link).

  1. Navigate to the campaign you would like the candidate to interview again.
  2. Click Send E-mail Invites on the left side of the page.
  3. Enter the candidates First Name, Last Name, and Email Address.
  4. Click Add Candidate to List.
  5. Click Send Invites. This will send a candidate a new link that will allow them to repeat the interview.
  6. You can repeat this process as many times as needed.

When a candidate repeats the interview, the new interview will be added to the campaign; it does not overwrite the old one. We do this purposely so you always have a record as to why you let a candidate interview again.

Best Practice Suggestion

We recommend navigating to the original candidate interview and placing a statement in the Overall Notes area explaining why you sent the candidate a new invitation to interview.

How do I import candidates into a campaign?

If you have a lot of candidates you would like to invite and you already have their names and email addresses, using the Import Contacts option will save you a lot of time.

Sharing Candidates Individually

Voice Advantage allows you to share candidate responses with people who are not users in your Voice Advantage account. This can be a great tool for driving calibration with Hiring Managers or clients.

Instructions

Candidate responses are shared from their page in a particular campaign.

  1. Navigate to the candidate whose responses you would like to share.
    1. You can find a candidate by using the Search field in the top navigation bar.
      This will search all candidates, campaigns, and resumes. If you need a more targeted search use the search option on the Candidates page (below).
    2. You can search directly from the candidates screen by clicking on Candidates in the top navigation bar.
    3. You can click into a campaign and view candidates by status.
  2. Click on the Presentation & Feedback tab above the candidates responses.

  1. Tick the boxes to indicate which information and options you would like to include on the share page. If you have added a company name and logo in the Administrative Settings of your account, these will appear if checked.

    1. Show your company name and logo
    2. Show pre-qualifying answers and questions
      If this is checked any of the candidates responses to pre-qualifying questions will be shown. If it is not checked, only his/her audio or video responses will be shared.
    3. Ask reviewers for feedback
      If this is checked, reviewers will have the option to give a thumbs-up/thumbs- down on a candidate and share notes. Reviewers will be asked to enter their name and email address before viewing the share page so their feedback can be tracked. The information they provide is used solely to track their feedback and is not used for any other purpose or shared with any third party for any reason. If this is unchecked, the reviewer will go straight to the share page and see the candidates responses.

Sharing Candidates in Groups

Voice Advantage allows to share a group or batch of candidates with another person at one time. This done through Presentation Lists.

Instructions

  1. Navigate to a candidate you would like to add to a Presentation List.
    • You can find a candidate by using the Search field in the top navigation bar.
    • This will search all candidates, campaigns, and resumes. If you need a more targeted search use the search option on the Candidates page (below).
    • You can search directly from the candidates screen by clicking on Candidates in the top navigation bar.
    • You can click into a campaign and view candidates by status.
  2. Click on the Presentation & Feedback tab above the candidates responses.
  3. Click the Add To Campaign Presentation List button
  4. Navigate to any other candidates you would like to add to the list and repeat steps 2 & 3.
  5. When you have selected all of your candidates, go to the Manage Presentation Lists page:
    • You can either click on Go to the presentation list for… link found on the Presentation & Feedback tab of a candidate OR
    • Click on the Manage Presentation Lists link on the left side of home page for a campaign.

One the Manage Presentation Lists page, enter a name for the Presentation List. We recommend including a date for easy reference, example: First Candidate List to Hiring Manager - 2013/12/10

  1. Tick the candidates for the settings and information you would like to include on Presentation List share page.
    1. Show your company name and logo
      If you have added a company name and logo in the Administrative Settings of our account, these will appear if checked. If you are using client branding for a campaign, the clients name and logo will be shown if checked.
    2. Show pre-qualifying answers and questions
      If this is checked any of the candidates responses to pre-qualifying questions will be shown. If it is not checked, only his/her audio or video responses will be shared.
    3. Ask reviewers for feedback
      If this is checked, reviewers will have the option to give a thumbs-up/thumbs-down on a candidate and share notes.   1. Tick the candidates you would like to include on the list.
  2. Click the Generate New Presentation List button.
  3. Copy the link generated and send it to the person(s) you would like to review the candidates.
